Leave & Overtime Management

This page describes leave categories, overtime pay calculations, and the monthly reporting process for 家德 employees. Source: monthly request files in OneDrive 0-請假單/ and 1-加班/ (e.g., 260128 家德員工1月份加班申請單^0請假單.xlsx).

Monthly Report Structure

Each month's report is prepared by Lily and confirmed by Emma, completed at the start of the following month. The workbook contains three worksheets:

  • 加班時數 (Overtime Hours): Calendar-format view; each employee's overtime entered by day
  • 加班總表 (Overtime Summary): All employees' overtime and leave hours, with remaining balances per leave type
  • 法規 (Regulations): Excerpts from the Labor Standards Act for reference

Leave Types and Rules

Annual Leave (特別休假)

  • Remaining balance tracked monthly; hours expired without use are recorded in a separate column
  • Compensatory leave (補假/補休): tracked separately with remaining and expired balances

Sick Leave (病假)

  • Annual cap: 240 hours per Labor Standards Act
  • Monthly report tracks hours used and cumulative balance remaining

Menstrual Leave (生理假)

  • Annual cap: 24 hours (1 day per month; first 3 days annually are not counted against sick leave)
  • Hours beyond 3 days per year are merged into sick leave balance
  • Pay: half deducted (Gender Equality in Employment Act, Article 14)

Marriage Leave (婚假)

  • Recorded per application; remaining balance tracked

Bereavement Leave (喪假)

  • Recorded per application; remaining balance tracked

Prenatal Check-up Leave (產檢假)

  • Tracked per actual usage during pregnancy

Fetal Protection Leave (安胎假)

  • Requires medical certificate; tracked per actual usage

Vaccine Leave (疫苗假)

  • Unpaid; recorded in a dedicated column

Deducted Leave (扣薪請假)

  • Leave taken beyond entitlement or outside approved categories; pay is deducted

Overtime Pay Calculation

Per Labor Standards Act Article 24, Section 2 (weekend/rest-day overtime):

Monthly limits: Combined with regular hours, no more than 12 hours per day; total overtime per month must not exceed 46 hours.

Public Holiday Overtime

  • Per Labor Standards Act Article 39: holiday work is paid at double — the day's regular wage plus an additional full day's wage
  • Regardless of hours worked, hours 1–8 on a public holiday all receive one additional day's wages
  • Monthly summary column: 「國定假日加班(未滿8H也要多加1日日薪)」

Business Travel and Overtime

  • Sunday travel (departure or return): 2× daily wage + per diem allowance (treated as a normal work day under Article 39)
  • Trade show attendance: daily allowance + Saturday/Sunday compensatory leave (no overtime pay calculated)

The overtime summary table has one row per employee with the following columns:

Filing Conventions

  • Individual leave slips: 0-請假單/YYYY 假單/YYYY-M月 假單/
  • Filename format: YYMMDD 請假單[Name]-(LeaveDate).doc (e.g., 260102 請假單Lily-(260102).doc)
  • Monthly overtime files: 1-加班/YYYY/ — filename includes month and preparation date (e.g., 260128 家德員工1月份加班申請單^0請假單.xlsx)
  • Leave balance master: stored in 0-請假單/總假表/
